Hi, Requirement #1) 900 email accounts 25 GB space per account : This is huge almost 22500 GB of space about 22 TB space. You will have to put your request across multiple DC and check what they offer on this. I think you can use Zimbra for this email management..

better let somebody handle that who knows what he is doing, E-Mails can contain confidential stuff and important stuff.

This is the job for an MS Exchange cluster , in ball park figures what you would require 1- At least 1 ( preferably 2 ) active directory servers , these can be small machines nothing fancy , an idea ... 1 Quad Core CPU , 8GB of Ram each , 2 x 120GB of SSD Drives in Raid 1 2 - One exchange DAG Witness Server , again nothing fancy , can have the same configuration as above 3- I would recommend at least 4 robust inbox servers, an idea ... 2 x Intel Hexacores or Octocores , 64GB of RAM , OS partition = 2 x 480GB SSD Drives in Raid 1 STORAGE ... now here comes the tricky part I would connect 2 servers together to 1 storage server and 2 other servers to another storage server via iSCSI using 10Ge connections from the mail box servers to the storage , Evidently you need big storage per storage server so we are talking preferably of SAS Drives 3TB , around 20TB of effective storage per server. The DAG would copy the email database from 1 storage server to the other to maintain it in sync Its a tricky setup but very robust , we have something similar for our hosted exchange services , feel free to ask if you are indeed interested in some help with something like this.

As mentioned, based on disk space you will need a few Servers and a SAN. If the client does not want to spend the licensing fees on Microsoft Exchange. You can look at Zarafa, which has a clustering option. There is also Zimbra that has a community version. If you want a Windows solution without pricing as bad as exchange, you might look at SmarterMail.

Asking those questions indicates to me that you should hire someone to deploy your solution or have someone host it for you

If I were you I would directly contacted the companies and ask what they can do and how much is that going to cost me. That is the best way in this situation I think.
